Hi loves! As a corporate event planner who has been in this industry for quite some time I have developed some steps that allow my team and I to plan large-scale corporate events. These tactics work for our clients with over 500 guests to those with 10,000 + employees.
The most important thing to remember is the bigger the event, the bigger the budget, the bigger the resources, a more detailed timeline, and a larger team to pull it off.
Here are the 3 major steps to remember:
STEP #1: CONCEPT AND SCOPE
STEP #2: DETAILED EVENT PLANNING
STEP #3: PLANNING FOR THE UNEXPECTED
My team and I have to keep the event objectives at the top of mind, especially for planning large scale events because the budget is much greater. In order to establish the event objectives you must understand the company you are working for inside and out. The event objectives can be found by understanding the following:
- How big the event is
- How many people will be involved/attending
- Establish what resources will be required
Large-scale events are characterized by deadlines and restrictions on budget, time and resources. Delivering beyond scope is the most common cause of overspending and delays. After this is established with the objectives it is important to create contingency plans.
For smaller events you may have found yourself developing contingency plans for rain or weather mishaps. Instead, you will plan for weather, but everything else – THIS is where your industry connections will come in handy.
What is the caterer doesn’t show up? If the entertainment is stuck in traffic? If the comedian is sick? It s important to make sure that you have a plan B and C for anything that can go wrong.
